Quick guide to submitting Service or Team Type - NHS England Digital (2024)

This guide has been created to assist with recording the service or team type accurately in MHSDS v6. Author:Mental Health, NHS Talking Therapies and Learning Disability and Autism Analysis Team, NHS England.

Background

As part of the re-design for MHSDS V6.0, there have been some changes to the tables and individual data items found in the data set.

Overview of key structure changes:

  • MHS101 Service or Team Referral table still captures details of each separate referral, and identifies the primary MH service or team involved in the referral
  • MHS102 Other Service or Team Type table captures details of any additional services or teams involved in the same referral submitted in MHS101
  • the new MHS902 Service or Team Details table captures service and team details and acts as a look up table linked to MHS101 and/or MHS102
  • multiple referrals would require multiple MHS101 submissions, for example referrals to different mental health services
  • the MHS101 referral needs to stay open for the duration of the referral and would be closed once all the related MHS102 activity is complete, for example involvement from other mental health teams

As a result of the changes, if only one team or service is involved in the care of the patient, the MHS102 Other Service or Team Type table no longer needs to be submitted. The primary team in MHS101 Service or Team Referral table is identified via linkage to the new MHS902 table and the MHS102 table now only captures details of any other team or service that is involved in the same referral.

If you do not submit the MHS902ServiceTeamDetails table for community-based referrals then we cannot identify the Service or Team Type that the patient was referred to. Therefore any measure that uses the Service or Team Type will be affected and not be an accurate reflection of the activity taking place for a particular provider.

MHSDS data items needed to record the Service or Team Type

Table Field Notes
MHS101Referral ServiceRequestID This is used to identify a specific referral.
CareProfTeamLocalID This used to identify a specific team - this code will be looked-up in theCareProfTeamLocalID field in the MHS902ServiceTeamDetails table to identify the service or team type that the patient was referred to.
MHS102OtherServiceType ServiceRequestID This is used to identify a specific referral.
OtherCareProfTeamLocalID This used to identify a specific team - this code will be looked-up in theCareProfTeamLocalID field in the MHS902ServiceTeamDetails table to identify the service or team type that the patient was referred to.
MHS902ServiceTeamDetails CareProfTeamLocalID This is how the service or team type the patient is referred to is identified.
ServTeamTypeMH This describes the service or team type the patient was referred to. Full details are available in the MHSDS user guidance
OrgIDCareProfTeamLocalID The ORGANISATION IDENTIFIER of the organisation that assigned the CARE PROFESSIONAL TEAM LOCAL IDENTIFIER.
ServTeamIntAgeGroup Intended age group of patients treated by the service.Full details are available in the MHSDS user guidance.

Extra Submission Points

The 'other' teams - should be a team type that is present in the MHS902ServiceTeamDetails table. For team types that aren't in there - but are MH teams - you would need to use the 'other' codes - or speak to your commissioners as to whether it should be submitted.

As the MHS902ServiceTeamDetails table is a lookup table - you only have to submit each CARE PROFESSIONAL TEAM LOCAL IDENTIFIER in the MHS902ServiceTeamDetails once.

Example

If you have 4 referrals to 2 different Mental Health Support Teams, then you would submit 4 MHS101Referral records and 2 MHS902ServiceTeamDetail records (one for each MHST).

Below is an example of how the ServiceRequestID andCareProfTeamLocalID fields in MHS101Referral would be entered. This does not include all the fields that should be entered in MHS101Referral - please seethe MHSDS user guidance.

Below is an example of how the MHS902ServiceTeamDetails would be entered.

Examples

Example 1

If a patient is referred to one team (say an MHST) - then you would submit:

  • an MHS101Referral record with the referral details
  • an MHS902ServiceTeamDetails record with the 'F01' code

We would join the MHS101Referral record to the MHS902ServiceTeamDetails on CARE PROFESSIONAL TEAM LOCAL IDENTIFIER.

Example 2

If a patient is referred to an MHST and later on referred to a Community Eating Disorder Service, these referrals start at different dates/times and you would submit an:

  • MHS101Referral record with the referral details for the MHST team
  • MHS101Referral record with the referral details for the Community Eating Disorder Service
  • MHS902ServiceTeamDetails record with the 'F01' code
  • MHS902ServiceTeamDetails record with the 'C10' code

Then we can see that the patient had 2 separate referrals - and we can join them to the MHS902 table on CARE PROFESSIONAL TEAM LOCAL IDENTIFIER to identify the teams they were referred to.

Example 3

If a patient is referred to an MHST and a Community Eating Disorder Service at the same date and time but they are not the same referral, then you would submit an:

  • MHS101Referral record with the referral details for the MHST team
  • MHS101Referral record with the referral details for the Community Eating Disorder Service
  • MHS902ServiceTeamDetails record with the 'F01' code
  • MHS902ServiceTeamDetails record with the 'C10' code

Example 4

If a patient is referred to an MHST and a Community Eating Disorder Service at the same date and time and they are part of the SAME referral, then whoever is the 'main' team - should be submitted in the MHS101 table and the 'other' team should be submitted in the MHS102 table.

As an example, you would submit an:

  • MHS101Referral record with the referral details for the Community Eating Disorder Service
  • MHS102OtherServiceType with the referral details for the MHST team
  • MHS902ServiceTeamDetails record with the 'F01' code
  • MHS902ServiceTeamDetails record with the 'C10' code

We can lookup the team type for the main team by joining the MHS101Referral record to the MHS902 table on CARE PROFESSIONAL TEAM LOCAL IDENTIFIER .

We can lookup the team type for the 'other' team by joining the CARE PROFESSIONAL TEAM LOCAL IDENTIFIER (OTHER SERVICE OR TEAM) in MHS102OtherServiceType to the CARE PROFESSIONAL TEAM LOCAL IDENTIFIER in MHS902ServiceTeamDetails.
